1. What we collect

To run the Service, we collect: the ledger data your firm enters (client and file identifiers, transaction amounts and dates, and rate history); a sign-in cookie; a consent record made when your firm agrees to these terms (the terms version, the date and time, and the IP address and browser used); Clio access tokens if your firm connects Clio; and server logs (IP address, browser, and request timestamps) kept for security and troubleshooting.

2. Why we collect it

We use this information to provide the calculation service, keep sign-in secure, demonstrate that your firm agreed to these terms, sync with Clio where connected, and diagnose problems with the Service.

3. Where your data is processed

Hosted deployments run today on servers located in the United States (Oregon), on your firm's own subdomain of exactpenny.com. A Canadian-region deployment, or a fully self-hosted install on your firm's own server, is available on request. Each licensed firm runs on its own separate deployment with its own database; no firm shares a database or server process with another.

4. Retention

Ledger data is retained until your firm deletes it or the licence ends. Dated backups are kept from recent launches of the Service and are cycled out as new backups are made. Consent records and server logs are kept for as long as reasonably needed for security, support, and legal purposes.

5. No sale of data

We do not sell or rent your firm's data to any third party, and we do not use your ledger data for any purpose other than providing the Service to your firm.

6. Analytics

No analytics tools run inside the signed-in application. The marketing site at exactpenny.com uses Google Analytics 4; see the Cookie Policy for details.

7. PIPEDA and BC PIPA

We handle personal information in accordance with the federal Personal Information Protection and Electronic Documents Act (PIPEDA) and, for firms based in British Columbia, the BC Personal Information Protection Act (PIPA).

8. Your rights

You may request a copy of your firm's ledger data, ask us to correct inaccurate account information, or ask us to delete data on termination, subject to any professional or legal obligation your firm has to retain trust accounting records. To make a request, contact [email protected].
